Collaborating on Requests and Templates

Overview

You can collaborate on a Box Sign request or template with other Tufts users. This requires inviting the individual(s) as collaborators to the folder where the request/template is stored. The privileges they have on that folder will determine what they can do with the request/template.

  1. If you haven’t already done so, set up a folder in Box where the Sign request will live. In this example, we’ll use a folder called “Contracts.” (Tip: It’s best practice to have dedicated folders for specific processes.)contracts example folder
  2. Invite your collaborator(s) to that folder with the desired permissions. For more information on collaboration, see the page on Sharing.Sharing contracts example folder
    When you are assigning privileges to a collaborator, those privileges will determine what they can do in that folder, including with Sign requests that are saved to that folder. For example, if you invite them to the folder as a Viewer, they will have a limited number of actions that they can take compared to an Editor.

  3. Set up the Box Sign request like you normally would. During setup, be sure to save the request to the correct folder with your desired collaborators. For assistance, see the page on Sending Requests.Setting the desired folder as the save location for the request
  4. Your collaborators can access the request by going to Box Sign and clicking into the Shared with Me tab. What they can do with the request depends on the privileges they have on the folder where it is stored, as well as the current status of the request.Shared with me tab in Box Sign

    When you are assigning privileges to a collaborator, those privileges will determine what they can do in that folder, including with Sign templates that are saved to that folder.

    For the purpose of collaborating on templates, Box recommends adding collaborators as “Viewers” to the parent folder. This will allow them to use the template to generate requests, but not edit the template itself or upload files to your template folder.

     
  3. Set up the Box Sign template like you normally would. During setup, be sure to save the template to the correct folder with your desired collaborators.   4. Your collaborators can access the template by going to Box Sign and clicking into the Templates tab. What they can do with the template depends on the privileges they have on the folder where it is stored. For example, someone with the Viewer role on the folder will be able to use or copy the template, while someone with the Editor role on the folder will have the added ability to Edit or Delete the template.Templates tab in Box Sign, with some shared templates and permissions
