Publishing and Distributing Your Kuali Build Form
When your form is completed and your workflow is configured and tested, it's time to distribute your form.
Distributing a form in Kuali Build consists of three steps:
- Publish your app.
- Set app permissions such that defined users at Tufts can take your form and/or the form can be completed by completely anonymous users (see Configuring Access to Your Kuali Build App).
- Distribute the form link.
You will distribute your form only to individuals who should initially fill out and submit your form. You will not send the form to individuals that are defined in your workflow – Kuali Build will automatically send these users the form at the appropriate time in the workflow step.
Important: Unless your form allows anonymous submissions, publishing and distributing an app is not enough! You’ll need to assign users or groups permissions to be sure the appropriate users can access, fill out, and submit the form. After following the steps below, see Configuring Access to your Kuali Build App.
- In your app, click Publish in the top right menu.
- Click Publish.
Your app is live! If you've already assigned users permissions to submit your form, you can click Share Form to get the distribution link for your form.
- In your app, click Publish in the top right menu.
- If you have made changes to your form or workflow (for example, correcting spelling in a form question), you will be shown a list of the changes that you have made.
- Click View next to each list item to jump to the specific change.
- Click Discard Draft to revert all changes since the last published version of your app.
- Click Publish to make your changes live.
Your app is live! You can optionally click Share Form to jump to distributing your form.
- On the Publish page, when your form is Published, click Share Form.
- A panel will appear with two options for a link to your form that you can share. Neither link will work unless you have explicitly assigned “Create documents in this app” permissions to (see Configuring Access to Your Kuali Build App).
- By default, only the top link is active. This link will only work for those who log in with Tufts credentials.
- The bottom link is to allow completely anonymous submissions. If anonymous submissions are enabled, any user with the link can fill out the form, even if they do not have a Tufts account. To enable this link, check Allow anonymous submissions. Anonymous submissions are incompatible with data lookup gadgets.
