Filtering and Viewing Your List as Boards, Calendars, or Galleries

Besides the default list view, you can view list entries as a task board, calendar, or gallery. In any type of view, you can customize what columns are shown and filter to a specific subset of your list entries. For example, in a project management list, you may wish a board view to show only list items with a Current Status of Not Started.

  • A task board
    task boards are split list items into different columns based on a criteria
  • A calendar
    Calendars highlight due dates and durations
  • Or a gallery
    Galleries list each list item as an individual card

 

  1. Click the tab of the view you’d like to filter to switch to that view.
  2. Our example tab is called My Tasks
  3. Click the Filter icon to the left of the view tabs.

  4. In the right filter panel, choose the filters for this view.
    • Tip: If you do not see all filters, reload the page.

  5. After you finish adding or removing filters, click Save in the bottom of the right panel.

  1. Click the tab of the view you’d like to alter to switch to that view.

  2. At the bottom of the dropdown list, click Add or remove fields.

  3. Check the columns to show in the view and uncheck the column to hide. This does not delete the columns from your list.
  4. When finished, click Apply.
    Apply is the first option.

     

The default view is the view that is shown to you when you first open the list. This only changes which view is default for you, not for anyone that opens the list.

  1. Click the name of the view to be default.
    In our example we select the My Tasks view
  2. Click Set current view as default
    Set current view as default is near the bottom of the dropdown list

In the top right of the current view, click the + button. Depending on your current screen, you may instead see and click the + New View button.

A Create View screen appears. Give your view a name, choose your view, and then follow the prompts generated by Lists to create your view.

All views you currently have are tabs in the top right. To switch to a different existing view, click that view's tab.

You have as many tabs as you have created views
 

Note: You cannot delete a default view. Before attempting to delete a default view, change another view to be the default.

  1. Click the name of the view to be deleted.
    In our example we delete the My Tasks view
  2. In the dropdown, choose Delete View.

  3. In the confirmation screen, click Delete.
