Bookings with Me
Important Note about Availability: Depending on your current Tufts Microsoft license, Bookings may not be available to you yet. If you try to access Bookings and get a message about licensing, please email it@tufts.edu for assistance.
Overview
Through Bookings with Me, you can allow people to schedule available appointment times with you. To get set up, you create different types of meetings, which you can personalize in several ways – public versus private, different availabilities and durations, etc. You then share your booking pages with other people so that they can schedule meetings during available time slots.
To access your Bookings with Me administrative page, visit the Bookings with Me website and log in with your Tufts credentials. Watch this video for overview of how to use Bookings with Me.
- Visit the Bookings with Me website and log in with your Tufts credentials.
- In the topmost block, click on the options button. From here, you can edit the banner image or disable your bookings page altogether.
- Visit the Bookings with Me website and log in with your Tufts credentials.
- Decide whether the service will be public or private and go to the appropriate section.
- Click on the Add (+) sign.
- A page will appear where you can set up the meeting. The information you can provide includes:
- Title – Provide a short, descriptive meeting title.
- Category – Select one of your pre-existing Outlook tags to apply to this meeting. You can also create new tags from here.
- Description – Provide more details about this meeting.
- Location – Indicate where this meeting will take place, whether it’s physical or virtual. For virtual meetings, you can have Bookings automatically create a Teams meeting. You can also insert a reusable/recurring Zoom meeting link.
- Duration – Set the meeting duration.
- Visibility – Switch between public and private meeting.
- Schedule customization – Specify when you want to be available for others to book this meeting. You can use your regular meeting hours or set custom hours. (Note: Bookings will automatically check your availability against your personal Outlook calendar so that people can’t schedule a meeting with you when you’re already busy!)
- Buffer time before meeting – Build in extra time before this meeting for preparation.
- Buffer time after meeting – Build in extra time after this meeting. This is useful if you need to break things down, get set up for your next appointment, etc.
- Limit start time to – Set the interval at which you want these meetings to be made available. For example, if select “10-min intervals,” your available meeting times on a particular day might be 8:00 AM, 8:10 AM, 8:20 AM, etc. Keep in mind, Microsoft will still take your availability, buffer times, and meeting duration into account!
- Minimum lead time – Determine the soonest someone can book a meeting with you.
- Maximum lead time – Determine how far in advance someone can book a meeting with you.
- When you’re ready, click Save.
- Visit the Bookings with Me website and log in with your Tufts credentials.
- Find the meeting you want to edit.
- If you click on the options button, you will see the ability to duplicate the meeting, make it private/public, or delete it.
- To edit the details of a meeting, click on the name of the meeting.
- Edit the meeting as necessary.
- When you’re ready, click Save.
Bookings with Me gives you three options for sharing booking availability with others.
- Option 1 – Share your public booking page. On this page, people can view all of your available public meeting types. They can select whichever meeting type they want and book an available time slot.
- Option 2 – Share an individual booking page for one of your public meeting types. On this page, people can only view and book the specific public meeting type that you shared with them.
- Option 3 – Share an individual booking page for one of your private meeting types. On this page, people can only view and book the specific private meeting type that you shared with them. You can either share a reusable link or a single-use link.
Option 1 - Sharing Your Public Booking Page
- Visit the Bookings with Me website and log in with your Tufts credentials.
- Click the Share button in the top block. From here, you’ll have option to copy a link to your booking page, share your booking page via email, or add your booking page link to your Outlook email signature.
Option 2 - Sharing a Booking Page for a Specific Public Meeting Type
- Visit the Bookings with Me website and log in with your Tufts credentials.
- Find the public meeting type you want to share and click on the options button.
- Click Copy link. A link will be copied to your clipboard, which you can then paste in the location of your choice.
- Click Share. A window will open where you can copy a link to the meeting booking page or you can email the link to people.
Option 3 - Sharing a Booking Page for a Specific Private Meeting Type
- Visit the Bookings with Me website and log in with your Tufts credentials.
- Find the private meeting type you want to share and click on the options button.
- Click Copy link. A reusable link will be copied to your clipboard, which you can then paste in the location of your choice.
- Click Copy single-use link. A one-time-use link will be copied to your clipboard, which you can then paste into an email, chat, etc. This link will automatically expire after the first use.
- Click Share. A window will open where you can copy a link to the meeting booking page or you can email the link to people. You will have the ability to make the link single-use if you wish.
