Editing an Event

(Note: The Reserve Tufts Web Client must be accessed via the Tufts VPN if you are not using a secure on-campus internet connection.)

After an event has been created in Reserve Tufts, either by an Everyday User or a Point of Contact (POC), it is possible to change the event’s reservation or booking details. Changes to an event’s details may include:

  • Changing reservation details (event name, contact/group info, etc.)
  • Changing the date or time of a booking
  • Changing the location of a booking
  • Changing the status of a booking (confirmed, denied, cancelled, etc.)

If major changes are being made to the status, location, or time of an event, you should send a new confirmation email that reflects those changes. For more information, see the page on Sending Confirmation Emails.

1. Find the event that you wish to edit. If you need help doing this, see the page on Finding an Event.

2. Double-click on the event to open the Event Details window.

When the reservation is selected at the top left of the Event Details window, Reservation Details will be displayed in the top portion of the window. Booking Details will be displayed in the bottom portion.

3. Click the Edit button next to the reservation details.

4. In the Reservation tab, edit the reservation details as necessary.

5. Click OK to save your changes.

2. Double-click on the event to open the Event Details window.

When the reservation is selected at the top left of the Event Details window, Reservation Details will be displayed in the top portion of the window. Booking Details will be displayed in the bottom portion.

3. Click the booking that you wish to edit.

4. Click Tools. A pop up menu will appear.

5. Select Wizards.

6. Click Change Booking Date/Time.

7. If you need to change the date of the booking, click on the Date dropdown menu and select Reschedule Booking To Specific Date. A new field will appear. Clicking on the dropdown arrow will open a calendar where you can select a new date.

8. If you need to change the time of the booking, click on the Time dropdown menu and select Reschedule Booking To Specific Time. Some new fields will appear where you can specify:

  • Reserved Start – The start time of the event when required setup time is taken into account. (i.e. If an event starts at 2pm but requires 30 min of setup time, the Reserved Start time would be 1:30pm)
  • Event Start – The time at which the actual event is planned to end.
  • Event End – The time at which the actual event is planned to end.
  • Reserved End – The end time of the event when required teardown time is taken into account. (i.e. If an event ends at 4pm but requires 30 min of teardown time, the Reserved End time would be 4:30pm.)

9. Select the booking that you wish to edit.

10. Click Finish.

11. You will receive confirmation that the change was successfully applied to the booking.

12. Click Close.

13. The updated booking details will be displayed in the Event Details window.

14. Send a confirmation of the change to the event’s contact. For information on how to do this, see the page on Sending Confirmation Emails.

3. Click the booking that you wish to edit.

4. Click Tools. A pop up menu will appear.

5. Select Wizards.

6. Click Change Rooms.

7. Select Search For Rooms.

8. Click Next.

9. Again, select the booking that you want to edit.

10. Click Next.

11. On the left-hand side of the window, select the booking for which you’d like to change rooms.

12. Enter search criteria for the new space you would like to use for this booking.

13. Building – Select the Building, Area, or View that you would like to use in your search for a new space.

14. Room Type, Floor, and Setup Type – Specify additional requirements that you have for the space.

15. Status – Select Confirmed.

16. Click Next. A list of available rooms will appear.

17. Use the arrow keys to select a room by moving it to the right-hand column.

18. Click Finish.

19. A message will appear asking if you want to change any more rooms. If you are done, click Cancel.

20. A confirmation will appear that your change was applied successfully. Click Close to return to the Event Details window.

21. Send a confirmation of the change to the event’s contact. For information on how to do this, see the page on Sending Confirmation Emails.

3. Click the booking that you wish to edit.

4. Click Tools. A pop up menu will appear.

6. Click Change Booking Status Wizard.

7. A window will load that will display the Current Reservation Status and give you the option to change the status of the booking you selected.

8. Status – Select the new status for the event.

  • Confirmed – Select this to approve the booking.
  • Confirmed-Private – Select this to approve the booking but keep the details of the event private.
  • Cancelled – Select this to cancel an event that was previously approved. If this is selected, more details about the cancellation will be requested.

9. Select Next.

10. Again, select the booking that is being edited.

12. A window will appear to show that the change in status was successful. Click Close.
