Managing Requests

(Note: The Reserve Tufts Web Client must be accessed via the Tufts VPN if you are not using a secure on-campus internet connection.)

When Everyday Users request to use space that you manage, their requests will appear in your Dashboard with a Tentative status. From there, you can confirm or deny requests. Don’t forget to send a confirmation email after to notify the event’s contact about the change.

1. Click on Dashboard in the top toolbar.

2. Select Everyday User Reservations toward the bottom left of the page.

3. In the Status filter, select Tentative.

4. Select the Building, Area, or View that you would like to manage requests for. (Tip: Having a custom View will all of the rooms that you manage would be helpful. For more information creating a custom view, see the page on Customizing the Client.)

5. Double-click on an event to manage it. The Event Details window will open.

6. Review all of the reservation and booking details. Don’t forget to look over the information in the Comments and User Defined Fields tabs.

7. In the bottom portion of the window, select the booking that you want to manage.

8. Click Tools. A pop up menu will appear.

9. Select Wizards.

10. Click Change Booking Status Wizard. A window will load that will display the Current Reservation Status and give you the option to change the status of the booking you selected.

11. Status – Select the new status for the event.

  • Confirmed – Select this to approve the booking.
  • Confirmed-Private – Select this to approve the booking but keep the details of the event private.
  • Request Denied – Select this to deny the booking. If this is selected, more details about the denial will be requested.

12. Update Reservation Status – If this box is checked, the new status that you apply to this booking will also be applied to the reservation.

Recommendation: Do not check the Update Reservation Status box unless you are managing the last booking request for the event.

13. Select Next.

14. Again, select the booking that is being edited. 

15. Click Finish.

16. A window will appear to show that the change in status was successful. Click Close.

17. Send a confirmation of the change to the event’s contact. For information on how to do this, see the page on Sending Confirmation Emails.

7. Review all of the reservation and booking details. Don’t forget to look over the information in the Comments and User Defined Fields tabs.

8. Click Change Status in the top menu, next to the reservation details.

9. Use the Status dropdown menu to change the status to whatever is appropriate (e.g. confirmed, denied, etc.).

10. Click Next.

11. Hold down the CONTROL button on a PC (COMMAND on a Mac) and click to highlight each of the bookings that you want to change. You can also click Select All to highlight all of the bookings.

12. Click Finish.

13. A confirmation will appear to let you know that you changes were applied successfully.

14. Click Close.

15. The changes that you made will be reflected in the event details window. If necessary, you can edit more bookings following the previous steps.

16. Send a confirmation of the changes to the event’s contact. For information on how to do this, see the page on Sending Confirmation Emails.
