Pre-Reviewing a Statement (RAs Only)

The Pre-review period is a three week period before the Certification Period opens that gives research administrators (RAs) and grant managers the opportunity to review payroll and project statements before the statements are sent to the statement owner (faculty, PI) for certification.

When the Pre-review period opens, you will receive an email listing the payroll and project statements that you are responsible for pre-reviewing. 

  • RAs will have payroll statements to pre-certify.
  • Primary RAs and those assigned as a Grant Manager will have both payroll and project statements to pre-certify.

Notes:

  • Statements with no sponsored payroll will Auto-Approve with no action needed by the RA.
  • All statements with sponsored payroll must be pre-reviewed.
  • The statement moves to the faculty/PI for certification when:
    • All pre-reviewed statements will route to the Faculty/PI when the Certification Period opens.
    • If a statement is not pre-reviewed during the pre-review period, it will not route to the Faculty/PI for certification when the Certification Period opens. However, the statement can still be pre-reviewed during the Certification Period. If this happens, the system will route the statement to the Faculty/PI the following day.
  1. From your Work List, click the Payroll Statements tab.

  2. Click the Ready for Pre-review hyperlink from the Status column next to the statement you’d like to pre-review.
    • Note: You are not able to pre-review more than one statement at a time.

  3. Review the statement for accuracy:
    • Confirm that all sponsored project(s) the individual worked on during this certification period appear on the statement.
    • Review payroll dollars and cost share dollars for each individual for accuracy.
  4. Does the statement need adjustments?
    • Adjustments, if necessary, may be initiated in PeopleSoft Labor Panel – do not make changes in ECC. All corrections must be made in PeopleSoft and loaded to ECC.  Once the adjustments are loaded to ECC, you may once again pre-review the statement.
    • For any other questions or concerns, please e-mail ECC@tufts.edu .
    • Do not click the Pre-review button. Leave the statement in the Ready for Pre-review status for now.
  5. If the statement is correct, click the Pre-Review button on the bottom right of the statement. This moves the statement into the Pre-reviewed status.
  6. The statement you just pre-reviewed will fall off your worklist. The statement will remain in the Pre-reviewed status until the Certification period opens. 
  7. If payroll loads to a statement that is Pre-reviewed, the payroll will automatically post, and a message will appear on the statement indicating new payroll was loaded.

  1. From your Work List, click the Project Statements tab.
    • Note: For project statements, only Primary Research Administrator and those assigned as a Grant Manager will have a work list. If you are not the Primary RA, you can route to the department dashboard page to view project statements.

  2. Click the Ready for Pre-review hyperlink from the Status column next to the statement you’d like to pre-review.

  3. Review for accuracy:
    • All non-Faculty employees that were paid from the project for the period appear on the statement
    • If there is a variance between the expected amount and actual amount charged. Why?
    • Is there anyone being charged to the project that you did not anticipate?
    • Is there anyone missing from the statement whose payroll should have been charged?
  4. Does the statement need adjustments?
