Self Care Portal

The Self Care Portal allows you to update your Tufts phone settings across your all of your devices, including physical desk phones and “softphone” (i.e., Webex on your computers and mobile devices).

The Self Care Portal can be accessed by visiting http://voipportal.tufts.edu/ or via the Webex application. (If you are not on campus, you will need to use the Tufts VPN for access!)

  1. If you are NOT using a secure on-campus Tufts network connection, log into the Tufts VPN.
  2. There are multiple ways to access the Self Care Portal:
    • Option #1 - Visit http://voipportal.tufts.edu/
    • Option #2 – In your Webex desktop application, click Settings, then Calling > Advanced Call Settings.
  3. Log in with your Tufts credentials.
  4. The Self Care Portal will load.

Worried about missing a call to your Tufts number? Single Number Reach allows you to add additional phone numbers to your account. Then, when someone calls your Tufts number, the call gets pushed simultaneously to your Tufts phones (desk phones and Webex) and your active Single Number Reach lines! You can then pick up the call on any of those devices. On the other end, the person who called you will only see your Tufts telephone number.

Enabling/Disabling Single Number Reach

  1. Sign into the Self Care portal
  2. Select the My Phones tab in the lefthand navigation menu.
  3. In the Additional Phones section, click the Add button (+) to add a non-Tufts phone number. 
  4. Enter the phone number. 
  5. Provide a brief description (e.g. My cell phone). 
  6. Select the check box for “Enable Single Number Reach” and click Save. Single Number Reach will now be active for that line.

After an additional phone has been added to your account, you can make changes to it in the future by clicking the gear icon and selecting Edit.

Additional Options

Create a Schedule for Single Number Reach

Select this option if you wish to have the system ring to your mobile phone at designated times only. 

  1. In the Edit page for one of your additional phones, check the box to Enable Single Number Reach. Single Number Reach will be enabled for this phone number.option to enable single number reach
  2. Click the button next to “Create a schedule for this assignment”.option to create schedule
  3. In the window that appears:
    • Give the schedule a name.
    • Select the option to “Ring only during specific times.” 
    • Select the days and times that you want to have Single Number Reach enabled on for this phone.
    • In the Time zone field, search for the appropriate time zone.Editing single number reach schedule
  4. When you’re ready, click Save.

 

Enable Move to Mobile

Select the Enable Move to Mobile checkbox to transfer active calls from your Cisco IP Phone to this mobile phone by pressing the Mobility button.  (Note: This feature only works if you are using a desk phone and not with the Webex application.)

 

Advanced Call Timing

At the base of the window, click the Advanced call timing link to modify the wait time before your mobile phone starts to ring as well as the end time to ensure that a missed call goes to your Tufts voicemail.

If you are using a desk phone you can set up speed dial numbers for that phone through the self-care portal.

  1. Sign into the Self-care portal. 
  2. Click the Phones Settings tab. 
  3. Click the Speed Dial Numbers heading. 
  4. Click Add New Speed Dial
  5. Enter the 10-digit telephone number and enter a description for that number. 
  6. Select a speed dial number between 1 and 199 that you have not already used. 
  7. Click Save.

Note: Generally, Single Number Reach (described in the section above) has several advantages and is recommended over forwarding calls to another number. If you pick up a call that has been forwarded to another number, the person on the other end will see the number that the call was forwarded to.

In the Call Forwarding tab, you can set up basic call forwarding directly to voicemail or to another number. You also have the ability to configure advanced calling rules for incoming calls from internal (Tufts) and external numbers. All calls to your Tufts number will be immediately forwarded without ringing on your Tufts phones first!

Basic call forwarding and Advanced calling rules cannot be used at the same time! You have to choose one or the other.

Basic Call Forwarding

  1. Click into the Call Forwarding tab
  2. Check the box next to “Forward all calls to...” 
  3. Use the dropdown menu to select where you want to forward your calls to. 
    • Voicemail – Calls will go right your Cisco Unity voicemail.
    • Add a new number - Enter the 10-digit number where you want to forward your incoming calls. Enter the ten digits without any surrounding characters, such as parenthesis or dashes.

Advanced Calling Rules

  1. Click into the Call Forwarding tab.
  2. If the box is checked next to "Forward all calls to...", you must UNCHECK it.
  3. Adjust your Advanced Calling Rules, allowing you to specify where your calls are forwarded in different situations. You can forward to voicemail or specific numbers.
